This policy explains how FGTWO Family Trust  (ABN 92 237 126 971), trading as Añada, collects, uses, stores and discloses personal information. In this policy, "we", "us" and "our" mean Añada. It applies to the website at www.anada.com.au, to bookings and function enquiries, and to the information we collect when you visit or contact the venue.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. The personal information we collect

We only collect personal information that we need to run the restaurant and respond to you. Depending on how you deal with us, this can include:

  • Contact details. Your name, email address, phone number and, for functions, a company name or billing address.

  • Booking details. Date and time of your reservation, party size, seating preference, occasion, dietary requirements, allergies and any notes you or our staff add to your reservation, including whether you have dined with us before.

  • Function and event enquiries. Guest numbers, event type, menu and beverage preferences, budget and any requirements you tell us about.

  • Payment details. Card and payment information for deposits, online orders and gift vouchers. This is collected and processed by our payment provider. We do not store full card numbers on our systems.

  • Marketing preferences. Your email address if you subscribe to our mailing list, and a record of whether you have opted in or out.

  • Correspondence. Emails, phone messages, contact form submissions, reviews and social media messages you send us.

  • Website and advertising data. Your IP address, device and browser type, pages viewed, referring website, and information collected by cookies and similar technologies. See section 6.

  • CCTV footage. [Include if the venue operates CCTV: We record CCTV footage in and around the venue for the safety of guests and staff and to meet our obligations as a licensed venue.]

Dietary requirements and allergy information are sensitive information under the Privacy Act. We collect this only when you give it to us, we use it only to prepare your meal safely, and we share it only with the kitchen and service team.

Information about other people. If you give us the details of other guests, for example when you book a function, please make sure they know you are giving us their information and why.

2. How we collect personal information

We collect personal information:

  • when you make a booking through our website, our online reservation platform, by phone, by email or in person;

  • when you complete an enquiry or contact form on our website;

  • when you buy a gift voucher or place an order through our website;

  • when you subscribe to our mailing list;

  • when you contact us on social media or leave a review;

  • when you visit the venue and speak with our team; and

  • automatically, through cookies and analytics tools when you use our website.

Where it is reasonable and practical, we collect personal information directly from you. Sometimes we receive it from a third party, for example when a reservation platform, a booking site or a guest making a group booking passes on your details.

You can deal with us anonymously or under a pseudonym where it is lawful and practical, for example if you are asking a general question about our menu. We cannot hold a reservation or process an order without contact details.

3. Why we collect, hold and use personal information

We use personal information to:

  • take, confirm, change and manage your booking;

  • prepare food and drinks safely, including managing allergies and dietary requirements;

  • plan, quote for and run functions and private events;

  • process payments, deposits, gift vouchers and refunds;

  • answer your questions, feedback and complaints;

  • send you marketing about our menus, events and offers, if you have asked to receive it;

  • run and measure our advertising, including advertising on Google, Facebook and Instagram;

  • improve our website, menus and service;

  • keep our guests, staff and property safe; and

  • meet our legal obligations, including under liquor licensing, food safety, work health and safety and tax law.

If we cannot collect the information we need, we may not be able to confirm your booking, cater to your requirements or answer your enquiry.

4. Direct marketing

If you subscribe, we may send you emails about seasonal menus, wine dinners, events and offers at Añada. Every marketing email includes an unsubscribe link. You can also ask us to stop at any time by emailing [book@castleevents.com.au].

We do not sell or rent your personal information to other organisations for their marketing.

5. Who we share personal information with

We share personal information with:

  • Our service providers, who help us operate the business. These include our reservation platform [platform name], our website and online store platform (Squarespace), our email marketing platform [platform name], our payment providers, our IT and hosting suppliers, and our marketing agency.

  • Professional advisers, such as our accountants and lawyers, where needed.

  • Government agencies, regulators, courts or law enforcement, where the law requires or authorises it, or to protect the safety of any person.

  • A buyer, if we sell or restructure the business, in which case personal information may be transferred as part of that sale.

We ask our service providers to protect personal information and to use it only for the purposes we have engaged them for.

6. Cookies, analytics and advertising

Our website uses cookies and similar technologies. Cookies are small files stored on your device that let a website recognise your browser.

We use them to:

  • keep the website working correctly, including your cart and booking flow;

  • measure how the site is used, through Google Analytics and Google Tag Manager; and

  • deliver and measure advertising, through tools such as Google Ads and the Meta pixel, which can show you our ads on Google, Facebook and Instagram after you visit our site.

These tools collect information such as your IP address, device type, pages viewed and actions taken on the site. They do not tell us your name.

You can block or delete cookies in your browser settings. If you do, parts of the website may not work as intended. You can also manage advertising preferences through Google Ads Settings and through the ad preference settings in your Facebook and Instagram accounts.

Our website includes embedded content such as Google Maps, an online reservation widget and links to our Instagram. Those providers may collect information about you under their own privacy policies.

7. Sending information overseas

Some of our service providers store or process personal information outside Australia. This includes providers based in the United States and other countries where our website, reservation, email and advertising platforms host their systems. Before we disclose personal information overseas, we take reasonable steps to make sure the recipient handles it consistently with the Australian Privacy Principles.

8. How we store and protect personal information

We hold personal information in our booking, email and accounting systems, and in paper form at the venue where needed for service. We take reasonable steps to protect it, including access controls, password protection on our systems, staff training, and agreements with our suppliers.

No system is completely secure. If a data breach occurs that is likely to cause serious harm, we will respond in line with the Notifiable Data Breaches scheme and notify affected individuals and the Office of the Australian Information Commissioner where required.

9. How long we keep personal information

We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as the law requires. For example, we keep financial records for seven years to meet tax obligations, and we keep function records for the period needed to manage the booking and any dispute. 10. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong, out of date or incomplete. Email book@castleevents.com.au with your request.

We will respond within 30 days. We may ask you to verify your identity first. If we refuse your request, we will tell you why in writing and explain how to complain. We do not charge for making a request, but we may charge a reasonable fee for the cost of giving you access.

If you think we have mishandled your personal information, please contact us first at book@castleevents.com.au or on (03) 9415 6101. We will acknowledge your complaint within [5] business days and give you a response within 30 days.

We sometimes take photographs and video at Añada for our website and social media. If you would prefer not to appear, tell a staff member or the photographer at the time, or email us and we will remove the image where we can.

13. Age

Our website and marketing are directed at people of legal drinking age. We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.

14. Other websites

Our website links to other sites, including our reservation platform, review sites and social media. We are not responsible for the privacy practices of those sites. Read their privacy policies before giving them your information.

15. Changes to this policy

We review this policy from time to time and may update it. The current version is always available at www.anada.com.au/privacy-policy. The effective date at the top of this policy shows when it was last updated.
